Changes to your QBO Plan from March 31, 2025
As of Tuesday, 1 April 2025, it will no longer be possible to exceed the user limits in QuickBooks Online subscriptions. Your company’s usage will need to be adjusted, or your plan upgraded by 31 March 2025.
If neither of these actions are taken, the account will be suspended from 1 April 2025.

What happens if your account is suspended?
- You’ll have read-only access to your QuickBooks data for one year and you’ll be able to export it to Excel.
- You won’t be able to reduce your usage and you’ll need to contact QuickBooks support to upgrade and reactivate your account.
- When you upgrade your plan after suspension, you’ll lose any discounts you’re currently getting and will pay the then-current price.
What action do you need to take?
- Review your current QuickBooks Online usage. Your company’s current QuickBooks Online usage can be reviewed by going to the Usage tab under Account and Settings.
- For Users: By going to the Manage users tab under Your Company
- For Chart of Accounts: By going to Chart of Accounts under Your Company
- For Classes & Locations: By going to Lists
- Consider your business needs and take one of the following steps:
- Reduce your usage by removing unnecessary user access, clearing unwanted accounts from your Chart of Accounts, or
- Deleting classes and locations no longer required (Plus subscriptions only), or
- Upgrading your QuickBooks Online account to a plan that better suits your business needs.

If you are managing your own subscription, follow these steps to upgrade your plan:
- Sign in to QuickBooks Online as a primary admin.
- Go to Settings (gear icon) and select Subscriptions and Billing.
- Make sure your payment info is up to date.
- In the QuickBooks Online section, select Upgrade Your Plan.
- Review the available plans and then select Choose Plan.
- Follow the on-screen steps to upgrade your plan.
- Go to Settings (gear icon) and select Manage Users.
- Find the user you want to edit:
- Click the dropdown icon next to their name to remove them.
- Click Edit to change their role to a non-billable one.
The Productivity Solutions Grant (PSG) provides cost support for your QuickBooks Online subscription, but the user limit is set by Intuit, the software provider.
Starting 1 April 2025, Intuit is implementing changes to user limits for all QuickBooks Online subscriptions. This means that even with PSG, the number of users you can have will depend on Intuit’s updated policy.

If you’re managing your own subscription, follow these steps:
- Sign in to QuickBooks Online as the primary admin.
- Click on Settings (gear icon) and select Subscriptions & Billing.
- Under the QuickBooks Online section, click Cancel Subscription.
- Follow the on-screen instructions to complete the cancellation.
Please note that after cancellation:
- You’ll have read-only access to your QuickBooks data for one year.
- You can export your data to Excel before your access expires.
Unfortunately, we cannot provide refunds for cancellations.

If you have an existing QuickBooks Online subscription with us and upgrade to QBO Advanced, we will calculate the price difference between your current plan and QBO Advanced, based on the remaining subscription period.
This ensures you only pay for the upgrade for the time left on your current plan.

No, the upgrade must be paid for before activation. Intuit bills us upon activation, so we require payment to be received first before processing the upgrade.
